A hospital email list works when it is built account first: pick the hospitals and health systems you can serve, then name the three to six people at each who decide what you sell. Each needs a verified work email and a mobile, because a switchboard rarely puts you through to a director.
In Scalelist you build it with one sentence per role, see the count for free, and pay only for contacts found.
Below: how many US hospitals there are, why the health system comes first, which roles to name for what you sell, the fields to keep, and the cost of a 500-contact hospitals email list.
How many hospitals are there in the US?
There are 6,100 hospitals in the US, according to the American Hospital Association’s 2026 Fast Facts. 5,121 of them are community hospitals, and 3,567 of those community hospitals are part of a health system.
On the people side, Scalelist has no hospital-only industry label, so we use a proxy: people at US hospital and health care organizations with more than 1,000 employees. That is nearly 5.9 million profiles, including 302,552 directors and above. It is a proxy, and it also catches large non-hospital employers such as big physician groups, so size your list by role, not by this total.

Count systems, not only hospitals
About 7 in 10 US community hospitals belong to a system. For many purchases, the system sets the contract, the vendor list or the IT standard, while the member hospital’s department heads use the product and push for it.
A good hospitals email list therefore holds two layers per account: the system leaders who sign and the site leaders who champion. Our guide to building a target account list covers the account layer.
What should a hospital email list include?
A hospital email list needs the usual contact fields plus three hospital fields: the parent health system, the department and a size signal.
| Field | Why it matters for hospitals | Example (fictional) |
|---|---|---|
| Name and job title | Budget owner, user or gatekeeper? | Laura Bennett, Director of Supply Chain |
| Hospital | The site where the product is used | Riverside General Hospital |
| Health system | Where the contract may be signed | Great Lakes Health (5 hospitals) |
| Department | Surgery, pharmacy, supply chain, IT | Materials management |
| Work email and status | Valid, Risky or Not found | Valid |
| Mobile number | Skips the switchboard | +1 555 0163 |
| City and state | Territory and calling hours | Cleveland, Ohio (Eastern) |
| Size | Employees in Lead Finder; beds from the hospital itself | 1,001+ employees |
| Date found | When to rebuild | 27 Sep 2026 |
Lead Finder understands company size in employees, not beds. If your pricing depends on bed count, add it from the AHA or the hospital’s own site.
Should you buy a hospital email list or build one?
Build it. A bought hospital email list is sized to look big, which means many clinical staff who never sign a purchase order and few of the directors you need. It was compiled before you paid, and it rarely includes a verified mobile.

| Factor | Bought hospital mailing list | Hospital list you build |
|---|---|---|
| Who is on it | Everyone the seller could match to “hospital” | The 3 to 6 roles that buy what you sell |
| Freshness | Compiled before you bought it | Found the week you send |
| Verification | One status for the file, or none | Valid, Risky or Not found per email |
| Cost | Per record, upfront, bounces included | 1 credit per email, 20 per mobile, misses free |
| Compliance | Sourcing and opt-outs you cannot check | Your roles, your opt-out list |
| Mobile numbers | Rarely included | Available for every contact you will call |
The general case for building is in our guide to B2B email lists: build or buy.
How to build a hospital email list in Scalelist
You build a hospital email list in Scalelist with one sentence per role, then combine the results by hospital.
Example: Mark Ellison is a regional sales manager at Summit Surgical Supply in Columbus, Ohio (fictional). He sells single-use surgical instruments and starts with the people who approve new suppliers. He types this sentence into Scalelist’s Lead Finder:

Lead Finder reads back the titles, the industry, the two states and the size band, then shows the count before any credit is spent. On 27 September 2026 it was 123 people.

Mark then runs the same sentence for four more roles: directors of perioperative services, value analysis managers, CFOs and chief nursing officers. He keeps up to five people per hospital.
What a 500-contact hospitals email list costs
Five roles at 100 hospitals gives Mark 500 contacts. The maximum cost if every email and mobile is found:
| Scope | Credits (maximum) |
|---|---|
| One contact: lead 1 + email 1 + mobile 20 | 22 |
| One hospital buying group: 5 contacts | 110 |
| 100 hospitals: 500 contacts | 11,000 |
| Anything not found | 0 |
At the Scaler 20K rate (649 USD for 20,000 credits), mapping one hospital’s buying group costs at most about 3.57 USD of credit, and all 100 about 357 USD. Plans and yearly prices are on Scalelist pricing.
Map the buying group at your first 10 hospitals, with verified emails and mobiles.
Describe your buyer in one sentenceHospital segments and sample prompts
Each hospital role is a separate segment with its own sentence. All counts below are US people at hospital and health care organizations with more than 1,000 employees, on 27 September 2026.
| What you sell | Sentence to type in Lead Finder | Matching profiles |
|---|---|---|
| Finance, revenue cycle, cost programs | CFOs and VPs of finance at US hospitals with more than 1,000 employees | 6,507 |
| Nurse staffing and scheduling | Chief nursing officers at US hospitals with more than 1,000 employees | 4,381 |
| Pharmacy products and services | Directors of pharmacy at US hospitals with more than 1,000 employees | 3,983 |
| Clinical software and IT | CIOs and CMIOs at US hospitals with more than 1,000 employees | 2,295 |
| Medical and surgical supplies | Directors of supply chain and materials management at US hospitals with more than 1,000 employees | 2,101 |
| Surgical products | Directors of perioperative and surgical services at US hospitals with more than 1,000 employees | 1,394 |
| Equipment service | Clinical and biomedical engineering managers at US hospitals with more than 1,000 employees | 304 |
| New-product review | Value analysis managers and coordinators at US hospitals with more than 1,000 employees | 265 |

The small numbers are the useful ones. Only 265 people carry a value analysis title, so many hospitals have no one in that role: ask the supply chain director who reviews new products, and add that person. Selling nurse staffing? Our nurses email list guide covers the nursing hierarchy below the CNO. For clinics, home health and physician groups, use the healthcare email list guide.
How to reach hospital decision makers
Hospital directors answer outreach that names their hospital, their department and a number they are measured on. Supply chain leaders track cost per case and supplier count. Perioperative directors track OR time. CFOs track margin.
- Lead with the account, not the category. “Riverside’s OR” beats “hospitals like yours”.
- Write to the champion, copy nobody. One person per email; bring in the system contact after the site leader replies.
- Use the mobile. A hospital main line routes you through an operator. See direct dial vs mobile for which numbers connect.
- Expect a long cycle. New products often need clinical and value analysis review. Keep your cadence steady rather than fast.
Hi Laura,
How does Riverside compare the cost per case of reprocessed and single-use instruments today?
We supply surgical instruments to hospitals in Ohio and Pennsylvania. I can send a one-page cost comparison built on your current instrument list, no call needed.

Is it legal to email and call a hospital email list?
Yes, in the US, if you follow the rules for B2B email and calls. This is a summary, not legal advice.
- CAN-SPAM for email. The FTC says “the law makes no exception for business-to-business email.” Honest headers and subject lines, your postal address, an opt-out honored within 10 business days; up to 53,088 USD per violating email (FTC).
- Calls. Most live sales calls to a business are exempt from the Do Not Call rules (FTC). Autodialed, prerecorded or AI-voice telemarketing calls to a mobile need prior express written consent under the TCPA (47 U.S.C. 227). Details by state are in our guide to B2B cold calling laws.
- HIPAA. HIPAA protects health information about patients (45 CFR 160.103). A director’s work email is not patient data. Never ask hospital staff for patient information in a sales conversation.
- Outside the US. For EU or UK hospitals, read whether B2B contact data is legal under the GDPR.
Scalelist operates under the GDPR and Singapore’s PDPA, with a Data Processing Agreement, Standard Contractual Clauses and a published sub-processor list. Contact data you submit is never added to Scalelist’s database.

How many hospitals are there in the US?
6,100, according to the American Hospital Association’s Fast Facts on U.S. Hospitals, 2026. 5,121 are community hospitals, and 3,567 of those belong to a health system. The rest are federal hospitals, nonfederal psychiatric hospitals and other types. The AHA updates the count each year from its annual survey.
Can you buy a hospital email list?
Yes, but most bought hospital email lists are sized for volume: they are full of clinical staff who do not buy, compiled before you paid, and light on mobiles. Building your own list lets you name only the three to six people per hospital who decide, verified the week you send.
Who should be on a hospital email list?
The budget owner, the department head who uses what you sell, and the person who reviews new products. For surgical supplies that is supply chain, perioperative services and value analysis. For software it is the CIO or CMIO plus the department lead. Add the health system’s leader when the system signs.
How much does a hospital email list cost?
With Scalelist, at most 22 credits per contact with a verified email and a mobile, so about 110 credits per hospital for five roles. A 500-contact hospitals email list costs at most 11,000 credits, about 357 USD at the Scaler 20K rate. Nothing is charged when an email or mobile is not found.
Is a hospital email list HIPAA compliant?
HIPAA is not the rule that applies. HIPAA protects patient health information (45 CFR 160.103), and a hospital director’s work email is not patient data. B2B email follows CAN-SPAM and calls follow the TCPA and Do Not Call rules. Never request patient information from a prospect. This is not legal advice.
Can Lead Finder search by hospital bed count?
No. Lead Finder understands job title, seniority, industry, location, company size in employees and time in role. Use employee size as the proxy for hospital size, then add bed counts from the AHA or the hospital’s own website if your pricing depends on them.
