Sales prospecting is the work of identifying companies and people who could plausibly buy what you sell, then starting a conversation with them. It sits before qualification and before the pipeline. Everything downstream inherits its quality.

Most definitions stop there. The useful part is what separates prospecting that produces meetings from prospecting that produces activity metrics.

Prospecting is not lead generation

The two get used interchangeably and they are different motions with different owners.

A team can be excellent at one and poor at the other. Confusing them is why “we need more leads” so often produces the wrong fix.

The four stages

  1. Define the target. Firmographics, technographics and a trigger. Without a written definition every rep invents their own and the list quality becomes unmeasurable.
  2. Build the list. Find companies matching that definition and the people inside them who own the problem.
  3. Find contact details. A verified work email and, if you call, a direct dial.
  4. Make contact. Email, phone, or both. The channel matters less than whether the first line demonstrates you know why you picked them.

Stage one is where most of the leverage sits and where the least time gets spent. A tightly defined list of 200 accounts outperforms a loose list of 2,000 on every metric that matters.

Outbound and inbound prospecting

Outbound prospecting starts from an account list you chose. Inbound prospecting starts from someone who raised a hand, a signup, a demo request, a content download, and works out whether they are worth pursuing. The research work is similar. The sequencing is inverted.

What good looks like

  • A written ICP. If two reps would build different lists from the same brief, the brief is not finished.
  • A trigger, not just a profile. “Series B fintech” is a profile. “Series B fintech that hired a first RevOps lead in the last quarter” is a reason to call this week.
  • Contact data checked at build time. Records collected months ago and never reverified are the single biggest source of wasted dials.
  • Enough accounts per rep to be selective, few enough to be researched. Most teams land between 50 and 150 active accounts per rep.

Common failure modes

  • Volume as a substitute for targeting. Sending more to a weak list makes the deliverability problem worse and the conversion problem no better.
  • Stale lists. B2B contact data decays at roughly 25 to 30 percent a year.
  • No phone coverage in a phone-led market. Email-only coverage looks fine on a dashboard and fails on the floor.
  • Research that does not change the message. If the personalisation could apply to any account on the list, it is decoration.

Most teams should run two channels well rather than five poorly. The pairing that works most reliably in B2B is phone plus email, because the two cover different buyer preferences and the combination raises the chance of reaching someone without raising send volume.

Building a prospect list, step by step

  1. Write the account definition. Size, sector, geography, and one trigger. Keep it to three or four criteria so it stays testable.
  2. Generate the account list. Either query a database or describe the profile to a tool that returns matches.
  3. Pick the roles, not the people. Decide which two or three titles own the problem before you look at names, otherwise you select for whoever is easiest to find.
  4. Get contact details and verify them. Verified work email at minimum, direct dial if you intend to call.
  5. Add one researched detail per account. Something that changes the first line. If it could apply to any account, skip it and save the time.
  6. Load, sequence and work it. Then measure by account, not by activity.

Activity metrics tell you whether the team is busy. These tell you whether the prospecting works.

The most common diagnostic error is treating a targeting problem as a copy problem. If the reply rate is near zero across several different messages, the list is the issue.

How many touches, and over how long

A sequence of six to nine touches over three to four weeks, mixing channels, is the range most B2B teams land on. Fewer than five under-works the account. More than twelve rarely adds meetings and starts damaging the brand. The interval matters more than the count: touches clustered into three days read as pressure, the same touches spread over three weeks read as persistence.

Research that actually changes the message

Useful research answers one question: why this account, this week. Three things reliably do that.

  • A funding event or a leadership hire in the function you sell to.
  • A job posting that describes the problem you solve.
  • A technology change that creates or removes a constraint.

Company size, founding year and a paraphrase of the homepage do not qualify. They demonstrate effort without demonstrating relevance, and experienced buyers can tell the difference immediately.
